Greetings from sharedHR! Outlined below is important information regarding updates to sharedHR's compliance content and feature enhancements, which reflects our commitment to providing updated tools, information and resources to assist our clients in managing their HR function.

Family Medical Leave Act Handbook and Documents Updates
The federal Family and Medical Leave Act now provides for two new types of leave for eligible employees who are family members of servicemembers. The act provides up to 26 workweeks of unpaid leave in a single 12-month period to care for a family member who suffers a serious illness or injury while on active military duty. The Act also provides up to 12 workweeks of unpaid leave for a "qualifying exigency" when a family member is on active duty or is called to active duty in the Armed Forces.

Given these new leave FMLA entitlements for Military reasons, we have updated our FMLA handbook language and posted several new or updated forms and documents in the Leaves of Absence section of the sharedHR Document Library.

If you use the sharedHR handbook, you can simply create a draft version and re-release the handbook so that the updated language will be available to employees. You can see the language changes by comparing your released handbook version, to a newly created draft version.

Super Manager Privileges Enhancements
Some long-awaited additional functionality has been added to the super-manager custom privileges feature. You can now delegate administrator functions to your super-managers ("SMs") in the following new ways:

  • Manage Company News - allows SMs to add and edit Company News items for all employees or for selected document groups only.

  • Manage Customizable Pages - allows SMs to add and edit Customizable Pages for all employees or for selected document groups only.

  • Become Another User - allows SMs to use the Become Another User tool for all employees or for employees in selected document groups only.

  • Manage Resource Links by document group - you can now limit SMs access to managing Resource Links to specific document groups.

  • Update Training Programs and Courses - you can now assign the task of maintaining Training Programs and Courses to your SMs.

  • HRIS/Training Tracking - allows SMs to record training sessions.

  • Update Payroll Codes - you can now assign the task of maintaining Payroll Codes (Additional Earnings and Deduction codes) to your SMs.
You will find these new options on the Employee Custom Privileges screen, which is accessible from the System ID tab of the online employee file for any Manager-level user.

PTO Accrual Liability
The SharedHR users have always told us that "time is money". With that in mind, we added a feature to SharedHR, which converts paid time off available balances to dollar amounts. On the Paid Time Off Benefits Report, you now have the option to "Show the Company Liability Amount" on the report output. Electing to do so will add a "Liability" column to the "Balances" section of the report.

The paid time off accrual liability data is also available on the Custom Report Generator. In the list of available fields, you will find "PTO/Liability", "Vacation/Liability", and "Sick/Liability" options.

Uploading Employee-Specific Documents and Custom Employee Data Fields
Released last year and very popular with our clients is the administrator's ability to upload employee-specific documents, in addition to performance reviews. Documents can be attached to the following record screens when the following events are recorded for employees:

  • Record Paid Time Off Activity
  • Record a Counseling Session
  • Record a Separation
  • Record a Bonus
  • Record a Leave of Absence Activity
  • Record a Cobra Election
  • Record a Work Related Illness or Injury

In the online employee file (under Add/Maintain Employee Data), Administrators can also upload an employee's completed I-9 document and supporting information. This can be found on the "Work Authorization" tab.

Administrators are also able to define custom fields and attach any employee-specific documents of their choice. Custom fields can be set up by clicking on Update Company Information & Handbooks, then Update Custom Employee Fields. Once set up, these fields appear on the "Custom" tab of the online employee file. For example, Administrators may want to create a custom field called "Resumes" and attach each employee's resume. Custom reports can be created to show this information for easy reporting and access to data.
