Greetings from sharedHR! Outlined below is important information regarding updates to sharedHR's features list. We have some
exciting new developments in our pipeline and look forward to bringing these to assist our clients.
Paid Time Off Archiving
The Paid Time Off Archiving Tool allows sharedHR Administrators and Super-managers to archive paid time off history data for their employees.
Archiving PTO, Vacation and/or Sick Leave data will keep the paid time off reports and listings succinct and running quickly.
With the Paid Time Off Archiving Tool, you tell it the archival date for the list of employees that you select. It will create
new "Beginning Balance" records for each of those employees and archive all of their data dated prior to or equal to that date. The Beginning
Balance records are dated the day after the archival date that you provide. You also have the option to rollover the balances,
or set them to a specified value. This makes it very easy to zero-out used balances, for example.
To access the Paid Time Off Archiving Tool, click on the Admin Tools menu link, and then click on
Add / Maintain Paid Time Off Data. You'll find the new tool as the last item on the paid time off tools menu.
Administrators can now Delete Accruals
With this release, sharedHR Administrators and Super-Managers now have the ability to delete paid time off accrual batches for
their employees. When mistakes are made or duplicate accruals are entered, users can now clean up their own data.
Deleting accruals is accomplished by first running the Paid Time Off Accrual History Report. In the far-righthand column of the report output, you'll now find a "Delete" link. You simply click on that link, confirm that you wish to delete the accrual, and the system will do the rest.
Smart Forms
In this release of sharedHR, we enhanced some of our model library documents with our new Smart Form technology.
This feature adds the ability for the documents to be automatically filled with data for the employee who requests to download them. Or,
if it's the Administrator or a Manager who is downloading the document, the user is first presented with the Advanced Employee Filter screen
where they can select which employee's data they want to see on the document.
The following model documents now contain the Smart Form technology:
Employee/Payroll Change Notice
Long Exit Interview Form
Payroll Voluntary Deduction Change Notice
Request for Leave of Absence
Request for Make-Up Time
Request to Inspect Payroll File
Request to Inspect Personnel File
Short Exit Interview Form
For Administrators and Managers, Smart Forms are easily identified by the
Smart Form icon that appears next to them in the document list.
