Ability to Upload Many More Employee-Specific Documents
Administrators can now upload many more employee-specific documents, in addition to performance reviews. Documents can be attached to the following
record screens when the following events are recorded for employees:
Record Paid Time Off Activity
Record a Counseling Session
Record a Separation
Record a Bonus
Record a Leave of Absence Activity
Record a Cobra Election
Record a Work Related Illness or Injury
In the online employee file (under Add/Maintain Employee Data), Administrators can also upload an employee's completed I-9 document
and supporting information. This can be found on the "Work Authorization" tab.
The third enhancement we have made allows Administrators to define custom fields and attach any employee-specific documents of their choice.
Custom fields can be set up by clicking on Update Company Information & Handbooks, Update Custom Employee Fields. Once set up, these fields
appear on the final tab of the online employee file. For example, Administrators may want to create a custom field called "Resumes" and attach
each employee's resume. Custom reports can be created to show this information for easy reporting and access to data.
Further Enhancements to Custom Employee Fields
Custom employee fields are designed to provide Administrators the flexibility to record information that is not captured anywhere else in sharedHR.
At the request of several clients, we have now added a field that allows Administrators to select multiple picklist items per employee.
An example of this might be "Languages Spoken" or "Degrees Held," and multiple options per employee can be selected.
Enhancements to Reports
As part of our ongoing enhancements to the reports available on sharedHR, we have added additional filtering capabilities to the
Compensation History, Performance Review and Separation reports. This means that data can now be sorted by not
only Department, but also by Document Group and Location. This enhancement will be especially useful to clients who have many Document Groups and locations.
A new Administrator report, called Super-Manager Setup, is now available to assist Administrators keep track of Super-Manager
privileges. Super-Manager privileges can be assigned to any Manager (on the System ID tab of the online employee file), and give that
Manager specific administrative access e.g. to manage benefit data or specific groups of employees. This new report shows which custom privileges
have been assigned to which Managers in your organization.
Many of sharedHR's preconfigured reports and custom reports created by Administrators, can be exported into Excel
spreadsheets. We have added additional formatting to the Excel spreadsheets to enhance their appearance and readability.
More Flexibility for Posting Company News
Company news items can already be displayed for specific privilege levels or Document Groups. We have now added the ability to present news
items to specific Departments and Locations. Company news items are a great way to stay in touch with your employees and present messages
targeted to specific groups. For example, you may want to post departmental goals, or the mission/vision for different Document Groups. Company
news items can now also be entered so that they never expire.
Additional Features for Managing Location Information
In the Update Locations section, Administrators can now sort by country for ease of management and we have added a notes section so
you can record more detailed information about each location.
New Model Documents Available
We have added new model process maps to assist you in outlining some of the key HR processes in your organization. Using
these models will be invaluable in ensuring that critical steps are carried out and responsibilities are assigned appropriately. The following
models are now available:
New Hire Process Map (available in the
Recruiting & Hiring section of the Document Library).
Time Tracking & Leaves Process Map
(available in the Leaves of Absence section of the Document Library).
Performance Management Process Map (available in
the Performance Management section of the Document Library).
Disciplinary & Separations Process Map (available in the Separations section of the Document Library).
You may also be interested to know that we have updated our model Offer Letter in the Recruiting & Hiring section of the Document Library.
(Please note: if you have uploaded a custom version of this document to sharedHR, the "last updated date" will appear in red in the Manage
Library Documents area. This is a reminder that you may want to compare your custom version to our standard version. If you use sharedHR's
standard version, the new updates will already be available when you access the Offer Letter.
Employee Handbook Update
We have made a minor update to the definition of Non-Exempt Employees in sharedHR. If you use the sharedHR handbook, you can simply create a draft
version and re-release the handbook so that the updated language will be available to employees. You can see the language changes by comparing
your released handbook version, to a newly created draft version.

We have continued to work on delivering compliant content in US states and developing integration with payroll services and other
HR-related areas. Please contact us if you are interested in multi-state content or payroll integration.
